Protection of your privacy is one of the main business-related priorities of our company. Taking into account that using our website is (or may be) one of the activities when we process your personal data, we think it is important to inform you about how we handle your personal data, why we do so as well as which rights you may exercise. 2: WHEN DO WE PROCESS YOUR PERSONAL DATA?
Without the need to meet in person, we may process your personal data for example:
- When you load, browse or otherwise use our website
- When you make use of our contact info and communicate with us via e-mail or telephone
- When you send us your CV or cover letter during the recruitment process
- When your personal data find their way onto our website or social media channels
We collect and further handle your personal data only to the extent which is necessary to reach the purpose for which your data were collected. We do not transfer your data to any marketing companies hidden in the shadows, we do not use your data to send SPAM to your inbox neither we publish your data without your prior and clear consent.
Provision of your personal data to us is voluntary - you may decide whether you want to share them with us or not. However, processing of some of your personal data may be necessary to fulfil our obligations or provide our services. If you decide not to provide your personal data to us, we may not be able, for example, to invite you to an interview or answer your specific questions.
3: HOW DO WE PROCESS YOUR PERSONAL DATA?
When you contact us:
During standard communication, especially the one which is meant to be long-term,
we process your personal data (for example e-mail address or telephone number, name
and surname) for the purpose of giving you the information you need and reacting
to your requests, questions or suggestions. When we say "process" we mean "save
your contact info into our address book so we may stay in touch with you". After
our communication ends, we no longer use your contact info unless you give us permission
to contact you in the future. If you provide us with other types of personal data
during our communication, we will use such personal data only for the purpose for
which you provided them.
When you browse our website:
We care about what others think! Therefore we make efforts to customize our online
content to make them useful and user-friendly. For this purpose we analyze which
pages of our website you visit the most or which info you often seek. This is possible
for us thanks to so-called cookies - tiny files stored at your computer (or other
device) and containing information about your preferences, activity on the web or
settings of your browser. In short, we are interested in collecting the data related
to the use of our website, not the data related to the users themselves.
When we are hiring:
From time to time we seek new colleagues. If you are interested in working at Tsubaki,
please respond to your favourite job offer by sending a CV and other documents (if
necessary) to the designated email address. We need to process the personal data
included in those documents so we have enough important information to organize
and manage the recruitment process. Such important information are usually your
name and surname, date of birth, nationality, place of residence, contact info,
education, qualification or professional skill and experience. For the purposes
of recruitment process, we cooperate with HR Agency DIKÉ - Management zdrojů, s.r.o.
(Company ID: 266 92 783, Jablonského 634, Kolín V, 280 02 Kolín). Please note
that this company will have, for the duration of the recruitment process, access
to your personal data because it is necessary to organize the interviews and analyze
the candidates. Personal data of the candidates who are not successful in the particular
recruitment process are kept only until the offered job is permanently taken. They
may, however, give us permission to keep the data for longer.
When we post on our website / social media channels
In this context we may for example publish articles, reports or photos related to
recent events. Under normal circumstances and if necessary, we make sure to get
your consent before the publishing. If you decide to withdraw your consent, please
make use of the contact info provided above and tell us you no longer wish for the
content with your personal data to be published. We'll try to be as helpful as possible.
4: WHAT ARE THE LAWFUL BASES FOR OUR PROCESSING?
The processing of personal data is lawful only where at least one of the so-called "lawful bases for processing" is applicable. With respect to the activities of processing stated in Article 3, we identified the following legal bases:
- Performance of the contract
- This basis applies for example in the situation where our communication becomes a contractual negotiation and we need to process your personal data to draft the contract, enter into it and perform the obligations.
- Legitimate interests of
Tsubaki or third person
- Our legitimate interests are especially the analysis of received CVs for the purposes of selecting suitable candidates, collecting information related to the user interaction with our website for the purposes of improving our online services or the publication of information related to our business activities on our designated channels.
- Consent of the data subject
- We need your consent for example to publish your photos on our social media channels or to keep your contact info for future communication. You have the right to easily and at any time withdraw the consent you previously gave to us - in such case please send an email to info@tsubaki.cz, tell us you take back your consent and provide us with further details so we may successfully process your request.
5: WHO MAY HAVE ACCESS TO YOUR PERSONAL DATA?
When we find ourselves in a situation where we need to entrust other persons with your data, we do so only in the extent which is necessary to reach the purposes of processing and without invading your privacy. We share your data with third persons especially when some vital business-related activity is outsourced to an external provider. In this connection, your personal data may be accessed by:
- External provider of IT services and IT support
- Company management software provider
- Cloud providers and shared drive providers
- Providers of social platforms and online platforms for content sharing (Google, Facebook)
- Provider of website-related analytic tools
- HR Agency DIKÉ - Management zdrojů, s.r.o. as an external recruitment organiser
- Other members of Tsubaki group
6: YOUR RIGHTS AND HOW TO EXERCISE THEM
You may exercise various rights in relation to your personal data. We promise to do our best to satisfy your requests. To exercise full control over your data, you have the following rights:
- right to get necessary information about the processing of your data (right of access)
- right to demand a correction of inaccurate data (right to rectification) and right to be notified of such correction having been carried out
- right to erasure of your personal data from our databases in case the data is no longer necessary for the purpose for which it has been collected or when you revoke your consent to processing of your personal data
- right to restriction of processing and notification of such restriction having been carried out
- right to object at any time to processing of personal data based on our legitimate interests as described above
- right to revoke your consent to processing of personal data where the consent is the legal basis of such processing

As we process your requests, we may ask you to verify your identity so we can ensure the proper protection of personal data processed by us and prevent disclosing them to unauthorised persons. We try to be as helpful as possible. If, despite that, you are not satisfied with how we dealt with your request, you have the right to file a complaint with the Czech supervisory body - Úřad pro ochranu osobních údajů, for example via email sent to posta@uoou.cz

Cookies, as described above, are tiny data files stored at your computer which carry the data related to your online preferences and use of our online services. They allow our website to load faster or load in a way which is suitable for your browser. 8: EFFECT AND CHANGES TO THIS POLICY:
In the future we may adapt this privacy policy to any potential new data processing activities. We will notify you about any substantial changes but even so we recommend checking back for updated versions of this policy as minor changes may take place in the meantime.
